Service Order’s
If a default printerhas not been setup in ServiceOrders, the OrderEntry screen askyou to whichprinter you wish toprint your ServiceOrders.
Which printer?
If you acceptdeposits, the OrderEntry screen, willask you to whichdeposit packet youwish to enter yourdeposits. Thedefault packetname is DP##,were ## is the linenumber of themachine you areworking. The Linenumber can befound next to thecity at the top ofthe screen. Werecommend usingthe default packetname.
Deposits
Screen 5 is theservice summaryscreen. Thisscreen displays theserviceabbreviation, meternumber, service ID,status, sales tax,other tax and ratecodes as well asthe previousreading, currentreading andconsumption.
Use the up anddown arrow keysto highlight thedesired serviceand press entertwo times to seedetailed serviceinformation.
The informationdisplayed on thedetail screen isdetermined by thetype of serviceselected.
Service Summary
The basicinformationcontained on theservice detailscreen for meteredservices is thesame with a fewdifferences basedon the type ofservice.
The water servicescreen containsadditional fields onthe right side ofthe screen to trackPressure Systemand Section.
Options appear atthe bottom of thescreen:
F5 displays servicehistory.
F6 displaysreadingtransactions.
F7 displays a menuof other options.
Service Details
Pressing F5 from theservice detail screendisplays the last 15months of billinghistory for theselected service.
This screen displaysthe averageconsumption, thebilling month, days ofservice,heating/cooling days,reading date, reading,consumption andamount billedincluding taxes.
The column besidethe billing month willdisplay an X if a meterchange is done andan A if an adjustmentis done on theaccount for theselected month.
Extended history canbe viewed using F5-Additional History.This is available at anadditional softwarecost.
Service History
Pressing F6 from theservice detail screendisplays the readingtransactions for theselected service.
Reading transactionsare maintained byyear. Type in theselected year andpress enter to viewthe transactions.
This screen displaysthe service number, IDnumber, reading date,reading month,reading, constant,meter number andhow read code.
The how read codesare: HH for handheld,MR for manualreading entry, FM forfile maintenance, N fornew service order, Ffor final service order.
Reading Trans
Pressing F7 from the
service detail screen
displays the Other
Options menu.
The options are:
1.Print Form-thisoption prints thecustomer name,service address,mailing address,service detailscreen and F5history includingextended history.
2.Meter Inquiry-thisoption is usedonly if the NewMeter Inventorysoftware is used.This optiondisplays themeter informationfrom MeterInventory.
3.Meter Update-thisoption is used toupdate info onthe meterinventory record.
Other Options
The gas servicescreen containsthe same basicfields that arecontained on thewater services.

Gas Service
The electric servicescreen containsthe basic meteredservice fields butalso includestransformerInformation. Thesefields are used totie the electricservice to the NewTransformerManagementmodule.
The Seal # fieldseen here isdisplayed as theMeter ID field onthe gas and watermetered servicescreens.

Electric Service
The demandservice screen isunique from allother meteredservices. Thisscreen includesthe basic tax andrate codeinformation butalso includes fieldsfor contractdemand, deliveryvoltage, measuredkW, billed demandand ESP usage.

F5 displays servicehistory (see nextpage for details).
F6 displaysreadingtransactions.
F7 prints serviceinfo and history.
Demand Service
The Demandservice historyincludes the billingmonth and year,the billed kW (theusage on whichthe bill wascalculated,measured kW(what the meteractually read),measured KVA andmeasured KVAR.
Demand History
Linked Service
Sewer is considered alinked servicebecause it is linked tothe water service forbilling purposes.
The sewer servicescreen contains thebasic serviceinformation includingtax and rate codesalong with billinghistory.
The sewer servicealso includes fieldused for specialsewer billingincluding a minimumand maximum billamount as well asspecial consumptionfields.
Options include F5 toview additionalhistory and F7 to printthe service info andhistory.
Flat Service
The service detailscreen for all flatservices is the same.
The flat servicescreen contains thebasic serviceinformation includingtax and rate codesalong with billinghistory.
The amounts fields atthe bottom of thescreen are useful. Ifan account needs tobe billed a flat amounteach month until agrand total has beenreached, put thegrand total in the GoalAmt field and put theamount to bill eachmonth in the Flat Amtfield. The Goal Amt isreduced each time theFlat Amt is billed untilthe Goal Amt is zeroand the service autoterminates.
Options include F5 to viewadditional history and F7to print the service infoand history.
ACH Bank Draft
The ACH Bank Draftscreen is only used ifthe ACH Bank Draftoptions are activated.
This screen containsthe information usedto draft thecustomer’s accountwhen the bills aredue.
This screen includesthe bank accountnumber, account type,and bank number.The DiscretionaryData field is not used.
The PendingTransactions sectionis used to let youknow if the accounthas a pendingprenote or pendingamount transaction tosend to the bank. TheFinal fields are used ifthe account isdisconnected and anACH record ispending for the finalbill amount.
Deposit Screen
Screen 7 is thedeposit screen. Thereare two depositsystems available.The screen shownhere is from thenewer version of thedeposit software.This screen allowsyou to maintainmultiple deposits foreach service. Thisaccount has twowater deposits withdifferent depositdates and depositcertificate numbers.This is not availablein the older depositsoftware that allowsone deposit for eachservice.
This screen displaysthe serviceabbreviation,certificate number,date and amount. Italso displays depositinterest and returninformation.
Budget Billing
Screen 8 is thebudget billing screen.This screen is onlyused if the BudgetBilling option isactivated.
This screen displaysthe budget amountcurrently due byservice on the leftside of the screen.
The right side of thescreen displays thebudget billing historyincluding the actualamount billed, thebudget amount billedand the differencebetween the twoamounts. It alsodisplays the year todate budget billingbalances.
Comment Screen
Screen 9 is thecomment screen.This screen is used torecord miscellaneousnotes about theaccount.
Options include:
F5 Insert Line is usedto insert a blank line.The line is insertedabove the line onwhich the cursor sits.
F6 Delete Line is usedto remove a line.Place the cursor onthe line to be deletedthen press F6.
F7 Other Optionsallows you to deleteall comments orappend to thecomments.Appending to thecomments addscomments to the end.If there is more thanone screen ofcomments entered,appending adds newcomments to the lastscreen.
Reading Trans
Screen 10 is theReading Transactionscreen. This screendisplays readingtransactions for allmetered services.This is the sameinformation displayedwhen you press F6from the service detailscreen. Thedifference is that thisscreen displays allreadings for allmetered services onone screen.
Message Screen
Screen 11 is theMessage screen andis used to display amessage at the top ofthe customer’saccount. Thismessage displays anytime the account isviewed either throughinquiry, cash receiptsor service orders.
Up to 4 messagesmay be entered. Theydisplay on the top twolines in the left andright corners of thescreen.
The top section of thescreen lists notes onhow the boxesdisplay and how thesecure and xferoptions work.
Service Orders
Screen 12 is theService Order screen.This screen displaysa list of service ordersentered on theaccount.
A new option hasbeen added to allowyou to key in aservice order numberat the bottom of thescreen and view thedetails regarding theservice order.
This screen displaysthe service ordernumber, status, actiontype, date issued,requested andcompleted, whocompleted the orderand who entered theorder.
Bill Information
Screen 13 is the BillInformation screen.There are threeoptions available onthis screen:
L for Last Bill: This isused to view billspreviously issued onthe account.
I for In Process Bill:This is used to view abill that has beencalculated but has notbeen updated.
M for ManualCalculation: This isused to calculate abill based on ratecodes and usageentered by the user.This is for inquirypurposes only and isnot saved on theaccount.
Bill Information
All three options onscreen 13 display thesame fields includingthe current andprevious readingdates, bill date, duedate, net amount,penalty amount andgross amount.
The service sectionincludes the serviceabbreviation,previous and currentreadings, usage,service amount, taxamount, net amount,penalty amount andgross amount foreach service.
Bill History
When the L (Last Bill)option is selected, theBill History screendisplays. This screenlists the actualamounts billed on theaccount broken downby service. A screenprint of this screencan be done if acustomer needsanother copy of whatwas billed.
Options include:
F1 to see the previousmonths’ bills.Continue to press F1to scroll through theavailable bills. Thenumber of months of billskept on this screen iscontrolled by a parameterin Office Manager.Contact DataQuestsupport to assistance inincreasing this number.
F6 to Print the Billdisplayed on thescreen. If this optiondoes not workcorrectly, contact theDataQuest SupportCenter for assistance.
In Process Bill
When the I (InProcess) option isselected, the Bill InProcess screendisplays. This screenonly displays whenthe bill for thisaccount has beencalculated but notupdated.
A screen print of thisscreen can be used togive a customer acopy of their next billif they want to pay itbefore it is actuallybilled.
Manual Bill
When the M (ManualBill) option isselected, a screenasking for additionalinformation displays.
“Which Service” isused to do a manualcalculation for oneservice. Leave thisfield blank to see thecalculation for allservices. This field isrequired if the “EnterCodes/ConsManually” option isselected.
“Fuel Adjustment” isused to include a fueladjustment amount inthe manualcalculation. This isneeded if a fueladjustment amount isentered when theregular bills arecalculated and needsto be included in themanual calculation.
Only one of the 4options below can beselected at a time.
Enter Cons
“Enter ConsumptionManually” can beused whencalculating anadjustment for theservice by enteringthe usage that shouldhave been billed andtaking the differencein the amounts thatdisplay compared tothe original amountsbilled.
When this option isselected, the bottomof the screen displayseach metered serviceon the account andlets you key inconsumption to usein the calculation.
Enter Cons
The manual billcalculation screenshows the billamounts calculatedbased on the usageentered on theprevious screen.
In this example, thewater usage wasentered. The sewerbill is linked to thewater usage so thesewer amount wasalso calculated basedon the usage entered.
To only display thewater calculation onthis screen, enter thewater service numberin the “WhichService” field on theManual Bill optionsscreen.
Codes/Cons
“EnterCodes/ConsumptionManually” can beused whencalculating anadjustment for theservice when theaccount is originallybilled using thewrong rate codeand/or tax codes.
The service numbermust be entered inthe “Which Service”field to use thisoption.
When this option isselected, the bottomof the screen displaysthe rate code, salestax code, other taxcode andconsumption fieldsand lets you key inthe desired values foreach of these fields.
Codes/Cons
The manual billcalculation screenshows the billamounts calculatedbased on the ratecodes, tax codes andusage entered on theprevious screen.
Curr Mth Reads
“Use Current MonthReadings” can beused to calculate theservice and taxamounts using thereadings, rate codesand tax codes on theservice detail screen(screen 5). This isuseful if meters havebeen read but the billshave not beencalculated and acustomer needs toknow their next billamount to pay inadvance.
Curr Mth Reads
The manual billcalculation screenshows the billamounts calculatedbased on the ratecodes, tax codes andusage from theservice detail screen.
This option displaysthe current andprevious readingdates from the servicedetail screen as well.
Hist Mth Reads
“Use History MonthReadings” can beused to calculate theservice and taxamounts using ratecodes and tax codeson the service detailscreen (screen 5) andusing readings fromthe service historyscreen.
When this option isselected, the bottomof the screen asks forthe History Month toUse.
When looking atscreen 5, F5 history,the first line of historyis month 01, thesecond line of historyis month 02, the 15thline of history ismonth 15. “HistoryMonth” is actually thehistory occurrencenumber on thatscreen.
Hist Mth Reads

Ctrac Records
Screen 14 displaysthe Ctrac recordsrelated to theaccount. This screenonly displays if theCtrac software hasbeen installed.
Logging Info
Screen 15 displaysthe logginginformation for theaccount. If LoggingCodes have beeninstalled, this screentracks changes thatare made to theinformation on theaccount.
This screen displaysthe logging code,description, old value,new value, date/timeentered, user namelogged in when thechange was made, theworkstation IDnumber at which thechange was made anda comment regardingthe change, ifrequired.

Parcel Info
Screen 16 displaysthe Owner/ParcelInformation. Thisscreen is used to linkthe account to a GISmapping system. It isalso used forstormwater billing.
This left side of thescreen displays theservice address (fromscreen 1), thefootprint number,electric meter link ID,water meter link ID,parcel ID, ownername, propertyaddress, E911 link,and E911 address.
The right side of thescreen displays thestormwaterinformation includingthe GIS #, squarefootage, # of ERU’s,yearly rate and datelast updated.
